Usage Reports
Usage reports give you and your clients a clear picture of retainer consumption — hours used, hours remaining, overage, and billing implications.
What's in a usage report
A usage report for a client and time period includes:
- Total hours logged in the period
- Hours included in the retainer package
- Overage hours and calculated overage cost
- Tasks completed in the period
- Time entry breakdown by date and description
Generating a report
From the client detail page, click Reports. Select the time period (current cycle, previous cycle, or a custom date range) and the report generates instantly.
Sharing with clients
You can share a report in two ways:
- Email — send a formatted report directly to the client's contact email
- PDF / Print — download a print-ready version to attach to an invoice
Excel export
Studio and Agency plan users can export usage data to Excel for further analysis or to integrate with external billing workflows. The export includes all time entries with full detail.
Build a monthly habit of sending usage reports before invoicing. Clients who see their usage data upfront are far less likely to dispute an overage charge.
