Built for how retainer work actually runs

RetainerOps is a purpose-built platform for consultants, fractional executives, and agencies who deliver work on a retainer basis. Instead of tracking hours in a spreadsheet and billing from memory, RetainerOps gives you a single place to manage every aspect of your retainer relationships — from scoping packages and onboarding clients to logging time and sharing usage reports.

The core model

Everything in RetainerOps flows from a simple hierarchy:

  • Clients — the companies or individuals you work with on retainer
  • Package Tiers — the retainer templates that define what's included (hours, price, cycle)
  • Assignments — a package tier applied to a specific client, with a start date
  • Tasks — deliverables attached to a client, tracked from open to done
  • Time Entries — logged hours that count against a client's included retainer hours

When you log time against a client, it automatically flows into their retainer usage. When usage approaches the included hours limit, RetainerOps alerts you — so you can have the overage conversation before it becomes an invoice surprise.

Who uses RetainerOps?

  • Fractional CMOs, CFOs, CTOs managing 5–20 clients simultaneously
  • Boutique agencies delivering ongoing services under monthly retainers
  • Consulting firms that need client-level visibility without enterprise complexity

What makes it different

  • Retainer-first data model — unlike project tools, RetainerOps is built around ongoing relationships, not one-off projects
  • Client portal — give clients a read-only view of their own usage without any setup on their end
  • Built-in AI assistant — ask questions about your workspace in plain English
  • Claude MCP connector — run your entire retainer practice from inside Claude
